Set up an exposition window (second instance)

From Exposition, select Set up an exposition, and double-click an exposition

Exposition Code

Enter a unique, abbreviated code that represents the exposition. Do not use spaces or special characters (such as “or”). The code can be any combination of letters and numbers as long as the code is different from that of other expositions being maintained in iMIS.

Title

Enter the name of the exposition you are defining. This title appears on windows and reports generated for this exposition.

Begin Date

Enter the start date of the exposition. The Begin Date determines the accounting method in which deferred income is transferred to current income for this exposition.

End Date

Enter the date the exposition ends.

Status

Enter the status of the exposition:

■    A = Active

■    P = Pending (still in planning stage)

■    F = Frozen (currently locked from active order, due to events, such as on-site orders after an exposition has already started)

■    C = Closed (orders no longer accepted)

■    X = Canceled

Note: An exposition must have a pending (P) status to use the Booth Preferences Management feature.

Entity Code

Enter the entity assigned to the exposition income account if using the non-default exposition entity (a blank field uses the default). Select the Find icon to look up an entity.

The Entity Code field displays only if you enable multiple entities on the AR/Cash Set up module window (where you also can change the default entity). Early Cutoff

Enter the last calendar date a discounted rate can be applied for early orders.

Reg Cutoff

Enter the last calendar date the regular rate can be applied. If regular and late fees are set up as part of the exposition definition, any orders after the regular cutoff date are automatically charged the late fee. If you do not charge a higher fee for late orders, leave this field blank.

Totals

Exhibitors - Displays the total number of exhibitors.

Cancellations - Displays the total number of cancellations.

Exposition Category

Enable the applicable category.

Tax Authority

(Canadian tax only) Enter the tax code used for the exposition. Select the Find icon to look up the current tax codes defined on the Set up tax codes window (from AR/Cash, select Set up tables > Tax codes).

The Tax Authority field displays only if the Canadian Taxation Method is enabled on the Organization Names window (File> System Setup, click Organization Names).

Exposition Products

Displays the products defined for the exposition on the Exposition Product Detail window.

Insert button

Opens the Exposition Product Detail window used for defining exposition products.

More button

Click to display a menu of additional exposition set up options:

■    General - Opens the Expo General Setup window used for setting default options.

■    Options - Opens the Expo Options window used for enabling prospect list security, product and company conflict checking, and booth preferences.

■    EXPOCAD Product Mapping - Applicable only for EXPOCAD.

■    Service Contractors - Opens the Service Contractor Maintenance window where you enter service contractor information. You can designate official contractors and the function the contractor is performing for the exposition.

■    Form Tracking - Opens the Expo Forms window where you define the forms required for the exposition and assign due dates for the forms.

■    Roster - Opens the Expo Roster window, which displays a list of exhibitors registered to attend the exposition.

■    Booth Proximity - Opens the Proximity Assignment window where you create special areas within the exposition and assign selected booths to these special areas. These areas are used to determine product conflicts.

■    Description - Opens the Expo Description window where you enter a text description of the exposition. A maximum of 1,000 alphanumeric characters can be entered. This window also displays user-defined fields created on the Set up module window.

■    Address - Opens the Expo Address window where you enter the exposition address.

■    Notes - Opens the Expo Notes window where you enter additional exposition information, as well as a SQL Registration Verification calculation.

■    Close Current Expo - Closes the exposition, deletes exposition details, creates activity records, and changes exposition status to C = Closed.
Choosing this option also deletes the exposition definition, depending on the preferences enabled on the Expo System Options window.

■    Cancel Current Expo - Changes the exposition status to X = Canceled and deletes order information. Also, it may delete the exposition definition, depending on the preferences enabled on the Expo System Options window.

To define an exposition

Enter the basic information that defines the exposition in the main definition fields.

1.  From Exposition, select Set up an exposition to open the Set up an exposition window.

2.  Click New to open a second instance of the Set up an exposition window.

3.  Enter an Exposition Code.

Note: You can automate what appears in the Exposition Code field of the Set up an exposition window by entering a SQL calculation in the Expo Name Calculation field of the Expo Advanced Features window. See Setting up Advanced Exposition Features.

4.  Enter all other applicable exposition information.

5.  Click Save.

To modify an exposition

1.  From Exposition, select Set up an exposition to open the Set up an exposition window.

2.  Double-click the exposition you want to modify. The exposition displays on the second instance of the Set up an exposition window.

3.  Click Edit.

4.  Make any necessary changes.

5.  Click Save.
